Hi Rachel, this is West Hills Honda. Your '22 CR-V has held its value better than expected - you're about $4,200 above your payoff. We just got the '24 Pilot Touring in the same color you said you liked. Same payment, more room. Want me to send the numbers?

Same payment? Really?

// The shift

Your portfolio is your pipeline. Most stores don't work it.

Used values are at a multi-year high. Half your customers are in better equity positions than they realize. The deal is sitting on your lot, the buyer's information is in your CRM: but the math never gets run, the call never gets made, and the customer trades in at the indie down the street.

// Before

The "equity pull list" lives in a spreadsheet. Nobody works it.

The desk manager pulls a report once a quarter. The list is too long, the math is stale, the inventory match is gone by the time anyone calls. Sales chases internet leads. The portfolio sits.

Every equity position scanned daily. Outreach lands when the match exists.

The Head Hunter scans your DMS every morning. Matches each customer in a favorable equity position to an in-stock vehicle that holds their payment. Outreach goes to the right customer the same week the inventory hits the lot. Desk managers see appointments, not lists.

The desk manager's dream list. Built every morning.

01 · Scan

Reads the DMS. Calculates real-time equity on every active customer.

The agent pulls payoff data nightly. Cross-references against Black Book and KBB live-market valuations. Filters for customers with positive equity, low remaining term, and recent service activity (the strongest trade-in signals). Output: a ranked daily list, sized to your inventory.

02 · Match

Runs the trade-up math against your live inventory. In real time.

For each equity customer, the agent matches against in-stock vehicles that hold the customer's payment within a configurable tolerance, usually $25/mo. Same-or-better trim. Same body style if that's what they've been driving. The math accounts for trade equity, current incentives, money factor, and term. No outreach goes out without a vehicle the customer can actually drive home.

Books the appointment with the desk manager already in the loop.

The agent reaches out by SMS, email, or both, depending on customer history. The opening line references the actual equity number, the specific vehicle, and the payment match. When the customer says yes, the appointment is written into your CRM with the trade-in details, the target stock number, and a pre-built worksheet ready for the desk manager.

A real outreach. From cold portfolio to booked appointment.

Twelve minutes of SMS. Rachel hasn't engaged with the dealership in eighteen months. By the end, she's booked Saturday morning to drive the new Pilot. Names and contact info anonymized.

It led with the equity number, not the offer.

The opening line was specific: $4,200 above payoff. That's a real number Rachel can verify. Generic "lease pull" outreach gets ignored. Numbers tied to her car get a reply.

It matched her car to a specific stock unit.

The Pilot Touring in inventory was the same body style, same color family she'd asked about at her last test drive. The match wasn't generic, it was the car the desk manager would have suggested if they had time to look.

It quoted the payment, not the price.

Customers in equity pull motions don't care about MSRP. They care whether the new payment fits the budget they already have. Same payment + better car = the deal closes itself.

It handed off with the worksheet already built.

By the time the desk manager opened Saturday morning, the trade-in details, the target stock, the equity calc, and the financing scenario were in the CRM. Rachel walked into a finished deal.

Hi Rachel, this is West Hills Honda. Your '22 CR-V has held its value better than expected, you're about $4,200 above your payoff right now. The '24 Pilot Touring just landed in the same color family you liked last time. Same payment, more room. Want me to send the numbers?

Same payment? Really? My CR-V was $429.
Head Hunter · 10:14 AM · 11s
Yes: $441/mo on the Pilot Touring, 72mo, $0 down using your trade equity. Within $12 of where you are. Want me to lock the unit and book a Saturday slot to drive it?
Rachel · 10:17 AM
What's the catch? Why are you reaching out now?
Head Hunter · 10:18 AM · 18s
Honest answer: used CR-V values are at a high right now, and that specific Pilot trim just came in. Two things that don't usually line up. No catch, just a moment that worked, and we wanted to flag it before the inventory moves.
Rachel · 10:19 AM
OK book me Saturday. 11?
Head Hunter · 10:20 AM · 8s
Done. Saturday 11 AM with Marcus, your desk manager. Sending the calendar invite and the appraisal link for the CR-V now. See you then.
// How it works

Three integrations. Live in a week.

01

Connect the DMS and lender network.

The agent reads payoff data, vehicle history, and customer records from your DMS: CDK, Reynolds, or DealerSocket. Pre-approval scenarios run through RouteOne or DealerTrack. We set up read access in a single session.

02

Calibrate the equity model.

The desk manager sets the parameters: minimum equity threshold, acceptable payment delta, eligible inventory categories, blackout customers, OEM compliance windows. The agent learns from your historical trade-up deals before going live.

03

Start with the warmest cohort.

Week one targets customers with $3,000+ equity who serviced with you in the last six months. Highest-yield list. Once desk managers trust the appointments, the agent expands to the full eligible portfolio.

The Head Hunter runs on ACP, our protocol layer that connects dealership systems to AI agents. Same protocol powers Sales, Service, and Follow-Up.

Questions

Frequently asked.

For sales managers, desk managers, and GMs who know the deal is on their lot and want to stop waiting for the customer to walk in. Answers indexable by Google AI Overviews, Perplexity, and ChatGPT.

01 How does it calculate equity? My DMS isn't always right.

The agent triangulates three sources: payoff from the lienholder via your DMS, current market value from Black Book and KBB, and the customer's vehicle condition based on service records. We use the conservative number, not the optimistic one. Customers don't get outreach unless the equity math holds with a buffer. Desk managers set the buffer.

02 Won't it annoy my customers with constant outreach?

No. The agent has built-in frequency caps: a customer who declines is parked for six months. Outreach only goes when a real inventory match exists at a real payment match. Generic "we miss you" messaging never goes out. Customers in active service relationships, recent purchases, or marked as do-not-contact are excluded automatically.

03 How does it handle OEM compliance and lease pull-aheads?

OEM-specific rules are configured at setup. Lease pull-ahead windows, captive lender restrictions, and brand-specific incentive eligibility are honored before outreach goes out. The agent never offers a deal the desk manager can't deliver. We have active deployments at Toyota, Honda, Ford, and Hyundai rooftops.

04 Where does the appointment land? In my CRM or somewhere else?

In your CRM, with the trade-in details, target stock number, equity calc, and financing scenario already populated. CDK, Reynolds, DealerSocket, VinSolutions, wherever your desk manager works the deal. No second system of record.

read the acp spec
05 Can my desk manager override the agent's math?

Yes. The agent presents a worksheet (payment, term, money factor, rebate stack, residual on lease) and the desk manager re-pencils as needed. Nothing the agent quotes is binding until the desk manager confirms. Most stores use the agent's first pencil 80% of the time and adjust on the harder deals.

06 How long to go live, and what's the contract?

Week 1: connect the DMS, valuation feeds, and lender network. Week 2: calibrate the equity model on your historical trade-up data. Week 3: live on the warmest cohort (equity + recent service). Day 30: typically running across the full eligible portfolio. Month-to-month, no long-term contracts. If the agent isn't earning its keep in 90 days, you cancel.
